For the purpose of these conditions, the term Trust shall mean the Gorebridge Community Development Trust – The Beacon. For the purpose of these conditions, the term hirer shall mean an individual hirer, or, where the hirer is an organisation, the authorised representative as listed in the Application for Use/Hire. Hirers are asked to respect the facilities provided by the Trust. This is a community owned venue which is a valuable resource in our community maintained partly by staff and volunteers.
General Terms and Conditions
1. Please note that a 50% deposit is required to secure your booking. Please note that bookings will be released after 48 hours if this has not been paid. A full refund is available should the hirer decide to cancel within 14 days of the event date, a 50% refund will be issued if cancellation is made between 7 days and 48 hours before the event. No refund will be issued if the hirer cancels 48 hours or less before the event unless in the case of exceptional circumstances. The Trust reserves the right to decide what is meant by exceptional circumstance. All cancellations are to be made in writing.
2. Please familiarise yourself and the members of your group with the Fire Regulations and Precautions in the building.
3. Notices detailing fire action and evacuation procedures are displayed in all rooms. A representative of the trust will advise you of the nearest fire evacuation points.
4. The booking duration is inclusive of set up and cleaning. You will be grated access at the start of the booking and be expected to be ready to depart on time, the trust reserves the right to charge any overrun at an hourly rate.
5. Please leave the premises as you would wish to find them by clearing away equipment, disposing of litter, sweeping the floor and cleaning down any tables and chairs – you will be provided with the materials to do this. The trust reserves the right to charge a cleaning fee should this not be completed.
6. All rubbish and litter remains the responsibility of the hirer and should be removed from the premises at the end of the hire duration.
7. To protect and preserve the floor in the main hall only indoor soft soled, non-marking shoes should be worn.
8. If the let includes an inflatable the hirer must also agree to and sign the specific terms and conditions confirming their responsibility and liability in ensuring the safe use of the equipment.
Specific Terms and Conditions
1. The hirer will, during the period of hiring, be responsible for supervision of the premises, the fabric and the contents, their care, safety from damage and the behavior of all persons using the premises, whatever their capacity.
2. Hirers will ensure there is one responsible adult to every 10 children. The hirer is responsible for the adequate supervision of children at all times including their entry and exit to the building
4. The hirer shall not use the premises for any purpose other than that described in the hiring agreement.
5. The hirer shall be responsible for obtaining such licences as may be needed whether for the sale or the supply of alcoholic beverages or for the performance of entertainment and/or other such activities for which authorisation is required.
6. If activities involve the supervision of children or other vulnerable persons, it is the responsibility of the hirer to ensure that all requirements of Disclosure Scotland PVG Scheme are complied with, have a current Child Protection Policy and appropriate insurance in place. It is imperative that there are an adequate number of adults in attendance to supervise children effectively following guidelines laid down by the Care Commission.
7. The hirer shall ensure that sub-contracted activities such as mobile discotheques, bouncy castles etc. are fully insured against public liability for their operation. The Trust will ask for copies of this insurance before event.
8. The hirer shall indemnify the Trust for the cost of repair of any damage done to any part of the property or the contents of the building which may occur during the period of hiring, as a result of the hiring. The introduction of any additional structure, electrical equipment decorations or poster by the lessees, shall be subject to the approval of the Management.
9. The Directors of the Gorebridge Community Development Trust (referred to hereafter as GCDT) or their representatives shall not, under any circumstances, be responsible for the loss or damage to goods, property or personal effects on the premises. It is recommended that each group using the premises make their own arrangements for the safekeeping of valuables.
10. No claim for damages shall lie against the GCDT or its representatives for the failure of the lessees to obtain occupancy to the premises arising from any cause not under the control of GCDT.
11. GCDT reserve the right to refuse or cancel the let. (In such cases, the lessee will be given notice of cancellation as early as
possible). Sub-letting is strictly forbidden.
12. The Management is empowered to close the doors against further admission when considered necessary for the maintenance of order and for safety or for any other reason. The person in charge may also terminate a let for the same reasons.
13. GCDT or their representatives will determine a maximum number of people allowed at any function. The number of people permitted being subject to safety and fire regulations in force at the time.
14. In accordance with the law, No Smoking is permitted anywhere on the premises.
Access & Equipment
1. Hire of any room or part of the main building does not assume access to any other part of the buildings. Access arrangements will be noted in booking confirmation.
2. Equipment: detail of resources which can be offered will be noted at confirmation of booking. The trust will agree on confirmation of booking prior to date of use.

If the Hirer is in any doubt as to the meaning of the following, a representative from Gorebridge Community Development Trust should be immediately consulted.
The hirer will, during the hours of hire, will be responsible for the supervision of the equipment, it’s care, safety from damage however slight of any sort, and the behaviour of all persons of all ages using, the equipment whatever their capacity, including proper supervision of children. The hirer will be supervised by a member of staff whilst in use. If the staff member is concerned for safety or breach of these terms, the activity will be withdrawn.
The hirer shall not use the equipment for any purpose other than that described in the hiring agreement, and shall not sub-hire or use the equipment or allow the equipment to be used for any unlawful purpose or in any unlawful way.
The hirer shall be deemed to have inspected the equipment and to have agreed that it is offered in good condition unless he/she brings to the attention of Gorebridge Community Development Trust when it is set up.
The inflatable (structure) cannot be left unattended, adequate supervision must be provided by the hirer. With a ratio of 1 adult to 6 children.
By hiring you accept that a member of staff will periodically supervise the hire and if any breach is made to these Terms and Conditions the activity will cease.
Under no circumstances can users hang onto or lean on the walls of the structure.
Under no circumstances can users bounce on the front apron or entrance.
Safety mats must be used at the front apron or entrance when the inflatable is in use.
The Manufacturers Guidelines of Use must be followed at all times.

A responsible Adult (18 years old and over) must always supervise the inflatable – the hirer is to identify this person on the day to a member of staff.
The structure will be set up suitable distance from walls and partitions by a member of staff. Once set up the structure cannot be moved during the period of hire under any circumstances.
Safety mats will be placed and under no circumstances can be moved from the inflatable during use.
It is the responsibility of the person who is hiring this inflatable/equipment to ensure that all possible steps are taken to always avoid any injury or damage to the inflatable.
Gorebridge Community Development Trust cannot accept any responsibility or liability for injury or Loss sustained to any persons through the use of this piece of equipment.
Gorebridge Community Development Trust must also warn the hirer that if any accident occurs from the hirers neglect to the supervision, then the hirer will be responsible and not Gorebridge Community Development Trust. It is strongly recommended that the hirer has adequate public liability insurance covering his or her liability arising from the use of the equipment.
This unit has an age limit of 12 years and a height restriction (as per manufacturers guidelines of use). Please ensure no-one over this age or height regulations uses the equipment.
No adults are to use this inflatable.
No food, drinks or chewing gum to be allowed on or near the Inflatable which will avoid choking and mess.
All shoes, glasses, jewellery, mobile phones, badges MUST be removed before using the inflatable. It is also recommended that spectacles are also removed. No face paints, party poppers, coloured streamers or silly string to be used either on or near the Inflatable. No hosepipes and washing up liquid are to be used on the Inflatable, this is a serious breach of our Terms & Conditions and can cause a serious injury to those using the equipment.
No smoking, bonfires or barbeques near the inflatable.
Climbing, hanging or sitting on walls is dangerous and must not be allowed. No somersaults or front/back flips are allowed at any time on the Inflatable. There is to be no climbing onto the shower covers or walls of the inflatable. This can cause a serious injury.
Avoid large and small children from using the equipment at the same time.
Children are not to push, collide, fight or behave in a manner likely to injure or cause distress to others. Please ensure that children are not attempting somersaults and are clothed appropriately and that they have nothing can fall out of their pockets.
No pets, toys or sharp instruments to be near or on the inflatable.
Do not allow anyone to bounce off the front safety step as a child could easily bounce off the inflatable and get hurt. The step is there is assist users in getting on or off.
Ensure that no one with a history of back or neck problems, high blood pressure, joint or bone weakness is allowed on the Inflatable as indeed any Child who is feeling unwell or who has had an operation in the last 12 months.
Do not allow anyone to be on the Inflatable during inflation or deflation as this is DANGEROUS.
Ensure that an area of 6 feet (2 metres) around the unit is completely clear.
The inflatable should not be used if it becomes wet on the jumping area.
In the event that the blower stops working, please ensure all users get off the inflatable immediately.
Once the equipment has been blown up by Gorebridge Community Development Trust, it must not under any circumstances be moved or adjusted in position at all.
Hirers are responsible for arranging adequate First Aid cover the event.
Payment
Full payment should be paid within 72 hours for children’s parties bookings. Please note that bookings will be released after this time if this has not been paid. A representative will be in touch with payment details.
